ROLF Lubricants GmbH processes personal data only in compliance with statutory regulations, particularly the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG).

This Privacy Policy explains how, to what extent, and for what purposes we process personal data when you use our website and online shop.

2. Processing of Your Personal Data

Personal data refers to information that can be assigned to a specific or identifiable person, such as name, address, email address, and telephone number. Generally, processing personal data is not necessary to use this website. Data is only collected and processed if you voluntarily provide it. We explain this in Sections 4 and 5 below. Section 3 details the data we automatically collect when you visit our website.


3. Automatic Data Collection and Processing When Visiting the Website

When you first visit our website or when required, we display a “cookie banner” to inform you that we use cookies and other tracking technologies to improve user experience, perform web analytics, and provide targeted advertising. The data processing associated with this is described in this section. By clicking “accept” or continuing to use our website, you consent to this usage. You can limit this consent by adjusting your browser settings to partially or fully disable cookies. Details are provided below.

3.1 Data Processing to Enable Website Use

When you visit our website, we collect the data needed to enable its use (usage data). This includes your IP address and data about the start, end, and subject of your website use, as well as data for identification purposes (e.g., login information for your personal area, if applicable). Additionally, technical data transmitted by your browser, such as browser type/version, referring website (Referrer URL), monitor resolution, operating system, device information (e.g., device type), etc., are collected. We process this usage data to provide and adapt this website to meet users’ needs, in our legitimate interest (Art. 6(1)(f) GDPR). Data is deleted as soon as it is no longer needed.

3.2 Cookies

When you visit our website, information may be stored on your computer in the form of a cookie, a small text file that allows us to recognize you on repeat visits. This enhances website functionality, prevents repeated logins, and enables web analytics (see Section 3.3).
There are different types of cookies. We distinguish between “first-party cookies,” set by the website operator, and “third-party cookies,” set by external providers. 4. Contact Form

When you contact us via the contact form, we store your data (title, first and last name, email address, subject, message, and telephone number if provided) and process it to respond to your inquiry. The legal basis for this data processing depends on your message’s purpose and may involve either processing in relation to contract initiation or our legitimate interest in providing a contact form for general inquiries (Art. 6(1)(b) or (f) GDPR).


5. Google Maps

Our website includes a plugin that displays Google Maps, a service provided by Google LLC, to visually display geographic information, such as our location.
When you access this service, Google collects your data as if you were visiting the Google search engine. Google is responsible for data processing, and we do not conduct any tracking through Google on our website. If you do not consent to future data transmission to Google, you can disable Google Maps by turning off JavaScript in your browser. In this case, you will not be able to use the maps feature.


6. Transfer of Data to Third Parties

To provide services, we may share personal data with service providers who support us in fulfilling our obligations. These providers are legally obligated to comply with all data protection requirements, as well as additional contractual terms under Art. 28(3) GDPR. We only share data with other third parties if legally permitted or with your consent, which can be withdrawn at any time. Data is shared with government entities only as required by law.


7. Transfer to Countries Outside the EU

Data transfers to countries outside the EU or EEA (third countries) are generally not required and therefore do not occur. Otherwise, we ensure an adequate level of data protection, particularly through the EU’s model contracts for third-country transfers.

The analysis and advertising service provider Google (see 3.3) is certified under the EU-U.S. Privacy Shield, ensuring an adequate level of data protection.


8. Data Retention

Personal data is deleted as soon as it is no longer required and if there are no statutory retention obligations. German commercial and tax law mandates retention periods of six years (for business correspondence) and ten years (for booking-relevant data).


9. Data Security

We implement technical and organizational measures to protect personal data against loss, destruction, manipulation, and unauthorized access. Our employees are bound to comply with GDPR, BDSG, and other data protection regulations.

We use “Secure Socket Layer” (SSL) encryption for secure online data transmission. You can recognize SSL encryption by the “https://” prefix and/or a green, closed lock icon in your browser.


10. Your Rights

Data protection law grants you various rights, including:

  • Right to information on stored personal data
  • Right to rectify incorrect data
  • Right to erase data that should no longer be stored
  • Right to restrict data processing in specific cases
  • Right to object to data processing based on legitimate interests (Art. 21(1) GDPR)
  • Right to object to direct marketing (Art. 21(2) GDPR)
  • Right to data portability
  • Right to withdraw any consent provided with future effect

11. No Automated Individual Decision-Making

We do not use personal data for automated individual decision-making as defined in Art. 22(1) GDPR.

12. Changes to the Privacy Policy

New legal requirements, business decisions, or technical developments may necessitate updates to our Privacy Policy. The latest version is always available on our website.
